WhatsApp Business App vs API: Which Does Your Nepali Business Need?

Most Nepali businesses do not need WhatsApp Business API. The free WhatsApp Business app handles a single person answering messages on one phone, and it does that well. You need the API when more than one person must answer from the same number, or when another system has to send messages automatically.

The honest decision rule

Two questions decide it.

Does more than one person need to answer the same number at the same time? The Business app ties a number to a phone. It has a linked-devices feature, but it is not a team tool — there is no assignment, no way to see who is handling what, and no record when a staff member leaves with the phone.

Does another system need to send messages on its own? Order confirmations fired by your website, appointment reminders from your booking system, payment alerts from your accounting software. The Business app cannot do this. Everything is typed by a person.

If both answers are no, stay on the free app. You will not get value from the API and you will pay for it.

Signs you have outgrown the free app

  • Messages go unanswered because the one person with the phone was busy, off, or asleep.
  • Two staff argue about who replied to a customer, and nobody can check.
  • Someone is copying order details from WhatsApp into your system by hand.
  • A staff member left and took the conversation history with them.
  • You want to send order updates automatically and are doing it manually.
  • You are hitting the Business app's broadcast limits.

One of these is tolerable. Three or more and the API will pay for itself in staff time alone.

Signs you should stay where you are

  • One person handles all customer messages comfortably.
  • Message volume is modest and steady.
  • You have no website or system that could send automatically.
  • You do not run marketing campaigns on WhatsApp.

There is no prize for upgrading. A shop doing thirty conversations a day with one owner answering is well served by the free app, and would gain nothing but a bill.

What you give up by moving

Worth knowing before you commit, because these surprise people.

The number changes, usually. A number already on the WhatsApp app must be deleted from it before it can be used on the API, and deleting permanently removes that account's chat history. Most businesses move to a fresh number.

You cannot just type to anyone. On the API, a message to someone who has not contacted you in the last 24 hours must use a template Meta approved in advance. Inside that 24-hour window you can type freely; outside it, you use a template.

There is no app to open. The API is not a phone application. Your team works in whatever inbox your provider gives you, in a browser. That is usually an improvement, but it is a change in habit.

Setup takes real time. Business verification with Meta is a paperwork process measured in days, not minutes.

A middle path worth knowing

If your problem is only that one person cannot keep up, but you have no need for automation, try the simplest fix first: a second number on the free app, published for a different purpose. It is crude, but it costs nothing and it tells you whether your real problem is volume or coordination. If the answer turns out to be coordination, that is exactly what the API's shared inbox solves.
