How to Set Up WhatsApp Cloud API in Nepal: A Step-by-Step Guide
Setting up WhatsApp Cloud API in Nepal takes most businesses one to two weeks. The technical connection is the quick part — usually a single afternoon. What takes the time is Meta's business verification, and that is decided by paperwork you either have ready or do not.
What you need before you start
Gather these first. Every delay we see in Nepal comes from starting the process and then stopping to find a document.
- A registered business. Meta verifies a legal entity, not a person. You need your company registration certificate.
- PAN or VAT registration. Meta asks for a government-issued business number, and in Nepal this is what you will use.
- A phone number that is not currently on WhatsApp. This is the one that catches people. A number already registered to the WhatsApp app — the normal one or the Business app — cannot be used for the API until it is deleted from that account. Deleting removes the chat history permanently.
- A business email on your own domain. A Gmail address will often still work, but a domain address on the same domain as your website makes verification noticeably smoother.
- A live website showing your business name, address and contact details, matching your registration documents exactly.
The sequence
Step 1 — Meta Business Portfolio
You need a Meta Business Portfolio, formerly called Business Manager. If you already run Facebook or Instagram ads for the business, you have one. Use it rather than creating a second — verification attaches to the portfolio, and doing it twice wastes weeks.
Step 2 — Business verification
This is the long pole. You submit your registration certificate and tax document, and Meta checks that the business name, address and phone number match across your documents, your website and your portfolio.
The commonest rejection reason is trivial and avoidable: a mismatch. If your registration says "Dibi Tech Private Limited" and your website footer says "DibiTech", that is enough to fail. Make them identical before submitting, in every place.
Verification typically takes a few working days once submitted. A rejection costs you the full wait again, so it is worth a careful check rather than a fast submission.
Step 3 — Connect the number
Once verified, you connect your phone number to a WhatsApp Business Account. You receive a code by SMS or voice call and enter it. You also set your display name here, which Meta reviews against its business naming rules.
Step 4 — Set your payment method
Decide before you do this, because it is difficult to reverse. Either you attach your own payment card and bill Meta directly, or you work through a provider's credit line. Meta does not support moving an account from a card to a shared credit line afterwards — the workaround is to disconnect the number and onboard it to a new account, which is disruptive on a live number.
Step 5 — Templates
Any message you send to a customer who has not messaged you first must use a pre-approved template. Submit your first templates now rather than later. Approval usually takes minutes to a few hours, but rejections happen and you want to discover your wording is a problem before launch day, not on it.
Step 6 — Connect to your systems
The technical part. You point your website, CRM or order system at the API so that events — an order placed, a payment received, an appointment booked — trigger the right template automatically. This is where a provider earns its fee: doing it well means webhooks, retries and delivery tracking, not just firing a request and hoping.
What usually goes wrong
- The number was already on WhatsApp. Plan to use a fresh number, or accept losing the history on an existing one.
- Name mismatches. Registration, website, and portfolio must agree exactly.
- A display name Meta rejects. It must relate clearly to your business. Generic words and marketing slogans get refused.
- Templates written like adverts. Utility templates must read as transactional. Promotional language inside a utility template gets it rejected or reclassified as marketing, which costs more.
- Starting verification twice. Two portfolios means two queues and no progress.
Cloud API or On-Premises?
For practical purposes in Nepal, Cloud API. Meta hosts it, there is no server to run, updates are automatic, and it is what Meta is actively developing. On-Premises exists for large enterprises with specific data-residency obligations and is being wound down. If someone is selling you an On-Premises setup in 2026, ask why.
Doing it yourself versus using a provider
You can do all of this directly with Meta and pay no platform fee. It is a genuine option and for a developer-led team with simple needs it can be the right one. What you take on is building the inbox your team will work in, template management, contact handling, reporting and retry logic — and maintaining all of it.
A provider is worth paying for when you want your team working in an inbox tomorrow rather than building one. It is not worth paying for if all you need is a single automated notification from your own system and you have someone who can write the integration.
Questions we get asked
How long does WhatsApp Business API setup take in Nepal?
One to two weeks is typical, dominated by Meta's business verification. With documents ready and no name mismatches it can be faster; a rejected verification adds a week.
Can I use my existing WhatsApp number?
Only if you first delete it from the WhatsApp app, which permanently deletes that account's chat history. Most businesses use a new number instead.
Do I need a registered company?
Yes. Meta verifies a legal business entity, so a sole trader without registration cannot complete verification.
What documents does Meta accept from Nepal?
Your company registration certificate and PAN or VAT registration are the standard pair. The details on them must match your website and your Meta portfolio exactly.
